# Adding Email to Boards

View email history and draft messages from your boards
The Emails panel in Boards lets you see email history with contacts and draft new messages—all without leaving Pockla.
## How It Works
Email in Boards is powered by the [Gmail Integration](/integrations/gmail/overview). Once connected:
1. **View history** – See all emails exchanged with the contact's company domain
2. **Create drafts** – Write new emails or replies
3. **AI assistance** – Let the Board Agent draft contextual emails for you
Emails are created as drafts in your Gmail. You review and send from Gmail—Pockla doesn't send emails directly.
## Setting Up Email
### Connect Gmail
Navigate to **Boards** and open any board
Click on a contact card to open the detail view
Click the **Emails** tab in the panel area
Click **Connect Gmail** and authorize with your Google account
Once connected, the Emails panel shows your email history with that contact's company.
## Using the Emails Panel
### Viewing Emails
The panel shows all emails exchanged with the contact's **company domain**. For a contact at `john@acme.com`, you'll see all your emails to/from `@acme.com`.
Each email shows:
* Direction (sent or received)
* Date
* Subject line
* Preview snippet
Click an email to see the full content.
### Email Actions

## Creating Emails with the Board Agent
The Board Agent can draft emails using contact context, company research, and email history.
### Draft a New Email
Ask the agent:
> "Draft an introductory email to John about our analytics platform"
> "Write a follow-up email mentioning our conversation about their Q2 goals"
### Reply to a Thread
Ask the agent to reply to existing conversations:
> "Reply to the latest email thread about pricing"
> "Draft a response to their question about integrations"
### How It Works
1. Agent creates a draft in your Gmail
2. Draft appears in the Emails panel
3. Click to open in Gmail
4. Review, edit if needed, and send
The more data you have on the contact (enrichments, notes, email history), the better the agent's drafts will be.
## Best Practices
Review the Emails panel before drafting. The agent can reference past conversations, but you should know the context too.
Always review agent-drafted emails before sending. The AI provides a starting point—add your personal touch.
Email from Boards works best for contacts you have context on. For cold outreach at scale, use [Link Sets](/links/introduction).
## Troubleshooting
* Ensure the contact has an email address with a company domain
* Personal emails (gmail.com, outlook.com) won't match company emails
* Check that Gmail is connected (may need to reconnect if token expired)
* Ensure popups aren't blocked
* Try a different browser
* Check that you're signing in with the correct Google account
* Drafts may take a few seconds to sync
* Check your Gmail Drafts folder directly
* Ensure you authorized compose permissions

Individual contact workspaces with customizable panels
Boards in Pockla are **individual contact workspaces**—a dedicated view for each contact where you can see their profile, take notes, chat with AI, run research, and manage all your interactions in one place.
## What Is a Board?
Each contact in Pockla has their own board. Think of it as a CRM record on steroids:
* **Draggable, resizable panels** arranged in a grid layout
* **Profile information** at a glance
* **Notes** for tracking interactions
* **AI Chat** for asking questions about the contact
* **Enrichment panels** showing AI-generated research
* **Email** integration for viewing and sending messages
Your panel layout is saved automatically—arrange panels however works best for you.
## Accessing a Board
There are several ways to open a contact's board:
1. **From Contacts**: Click a contact row, then click "View Board" from the actions menu
2. **After creating a contact**: When you add a contact from anywhere except the contacts page, you're taken directly to their board
3. **Direct URL**: Navigate to `/board/{contactId}`
## Default Panels
Every board starts with these core panels:
### Profile Panel
Shows essential contact information at a glance:
* **Avatar** (generated from email)
* **Name and title**
* **Company**
* **Status badge** (Lead, Prospect, Customer, Churned)
* **Quick actions**: Email button, Website link
* **Contact details**: Email, phone
### AI Chat Panel
Chat with an AI assistant that knows about this contact. Ask questions, get suggestions for outreach, or brainstorm talking points.
The chat history is saved per-contact, so you can continue conversations across sessions.
### Notes Panel
Keep track of your interactions:
* **Add notes** with title and rich text content
* **View all notes** in a list format
* **Click to expand** any note to see full details
* **Edit notes** inline
* **Copy content** with one click
Notes support Markdown formatting and are timestamped automatically.
## Adding Panels
Click the **"+ Add Panel"** button in the board header to add more panels.

### Creating an Enrichment Panel
Enrichment panels are powered by the [Research Agent](/data/research-agent). When adding one:
1. Click **"+ Add Panel"**
2. Select **"New Research"**
3. Configure the research:
* **Title**: What to call this panel (e.g., "Funding News")
* **Objective**: What you want to learn (e.g., "Find recent funding announcements for ")
* **Output format**: How to structure results (e.g., "Bullet points with sources")
* **Iterations**: How deep to research (1-10)
4. Click **Create**
The new panel appears on your board and automatically runs the research.
## Panel Interactions
### Drag & Drop
Rearrange panels by dragging their header bar:
* Panels snap to a 12-column grid
* Other panels automatically move to make room
* Layout saves automatically
### Resize
Drag panel edges or corners to resize:
* Minimum size is enforced per panel type
* Grid-based sizing ensures clean layouts
### Minimize / Maximize
Use the panel header controls:
* **Minimize** (−): Collapse to just the header bar
* **Maximize** (⤢): Expand to fill the board
* **Close** (×): Remove the panel from your board
### Edit Enrichment Panels
For enrichment/research panels:
1. Click the **pencil icon** in the panel header
2. Modify the research configuration
3. Choose to **Save** or **Save & Re-run**
Re-running regenerates the research with new parameters.

### Emails Panel

View email history with this contact:
* See sent and received emails
* Compose new emails directly
* Track opens and clicks
### Enrichment Panel
Shows AI-generated research about the contact or their company:

Put frequently-used panels at the top left. Consider a layout like:
* **Top row**: Profile (narrow) + AI Chat (wide)
* **Middle row**: Research panels

Import and create contacts in Pockla
Pockla provides multiple ways to add contacts to your workspace—from individual manual entry to bulk CSV imports.
## Manual Entry
Add contacts one at a time directly in the app. This is ideal for quickly adding new leads as you encounter them.
From the **Contacts** page, click the **Contact** button in the toolbar.
Fill in the contact information:

| **Email** | Yes | The contact's email address (used as primary identifier) |
| **First Name** | No | Contact's first name |

Click **Create Contact**. The contact will be added immediately and appear in your contacts table.
After creating a contact from the contacts page, you'll stay on the contacts page with the list refreshed. When creating from a board, you'll be taken directly to that contact's board view.
## CSV Import
Import multiple contacts at once using a CSV file. This is the fastest way to bulk-add contacts from spreadsheets, exports from other tools, or purchased lists.
### Preparing Your CSV
Your CSV file should include headers in the first row. Pockla recognizes these standard column names:

### Import Steps
Go to **Contacts** from the sidebar navigation.
Click the **Import** button in the toolbar.
Drag and drop your CSV file, or click to browse and select it.
Pockla will attempt to auto-match your CSV columns to contact fields. Review and adjust any mappings that weren't detected correctly.
* Green checkmarks indicate matched columns
* Use dropdowns to manually map unrecognized columns
* Skip columns you don't want to import
Preview the data that will be imported. Check for any issues or formatting problems, then click **Import**.
### Handling Duplicates
Pockla uses **email address** as the unique identifier for contacts:
* **New emails**: Creates a new contact
* **Existing emails**: Updates the existing contact with new data
* **Empty fields**: Won't overwrite existing data (only fills in blanks)
Contacts without a valid email address will be skipped during import.
## Contact Fields

When you create enrichment templates (AI-powered research), they appear as additional columns in your contacts table. These columns show:
* **—** No data yet
* **Generating** (with spinner) Research in progress
* **Preview text** Completed research (click to view full content)
* **Error icon** Generation failed (can retry)

## Bulk Actions
After importing or selecting contacts, you can perform actions on multiple contacts at once:

Use the checkboxes in the leftmost column to select contacts. Click the header checkbox to select all visible contacts.
A selection bar appears at the bottom showing the count of selected contacts and available actions.
Complete the action dialog (e.g., choose a list name) and confirm.
## Filtering and Sorting
### Filter by List
Use the dropdown in the header to filter contacts by list membership:
* **All Contacts**: Show everyone
* **Specific List**: Show only contacts in that list
### Sort Columns
Click any sortable column header to sort:
* **Email**: Alphabetical
* **Company**: Alphabetical
* **Contact**: By name
* **Title**: Alphabetical
* **Status**: By status type
* **Created**: By date added
Click again to reverse the sort order (ascending ↔ descending).

## What Are Lists?
Lists are collections of contacts grouped together for a specific purpose:

## Creating a List

### From the Contacts Page
1. Select contacts using checkboxes

### During Import
When importing contacts via CSV, you can assign them to a list:

Removing from a list doesn't delete the contact from Pockla—it just removes them from that list.

## Step 3: Install Snippet
Add the Pockla snippet to enable personalization on your site.

Create your account and let Pockla learn about your business
This guide walks you through setting up your Pockla account. The onboarding process uses AI to understand your business, so Pockla can help you create personalized outreach from day one.
## Prerequisites
* Modern web browser (Chrome, Firefox, Safari, Edge)
* Your company website URL
## The Onboarding Flow
When you sign up, Pockla guides you through a 4-step wizard that analyzes your company and sets up your account.
Navigate to [app.pockla.io](https://app.pockla.io) and enter your company website URL.
Pockla will:
* Connect to your website
* Read your homepage content
* Analyze your company profile
* Generate suggested objectives
Review the AI-generated company name and description. You can edit these if they're not quite right.
This information helps Pockla understand what you do and who your customers are.
Choose the objectives that matter most to you from the AI-suggested list. These might include:
* Generate more qualified leads
* Improve outreach response rates
* Build stronger customer relationships
* Scale personalized engagement
Your selections help Pockla prioritize features and suggestions for your use case.
Enter your details to create your account:
* **Team name** – Pre-filled with your company name (editable)
* **Email** – Your work email address
* **Password** – Must be 8+ characters with uppercase, lowercase, and a number
Once you submit, your account is created and you're redirected to your dashboard.
## Account Setup (Post-Login)
After your account is created, Pockla runs a deeper analysis of your company in the background. You'll see an **Account Setup** card on your dashboard showing progress through 6 milestones:

The onboarding agent is an AI that researches your company in depth. It:

View email history and create drafts from within Pockla
The Gmail integration connects your email to Pockla's Boards, letting you see email history with contacts and draft replies without leaving the app.
## What It Does
Once connected, Gmail integration enables:
* **Email history** – View all emails exchanged with a contact's company domain
* **Create drafts** – Draft new emails or replies directly from Boards
* **AI-assisted emails** – The Board Agent can read your email history and draft contextual replies
## Where It Appears
Gmail integration is used in **Boards**. When viewing a contact card, the **Emails** panel shows:
* Recent emails with that contact's company (by domain)
* Sent and received messages
* Draft emails in progress
* Quick links to open emails in Gmail
## Connecting Gmail
Navigate to **Boards** and open any board with contacts.
Click on a contact card to open the detail view, then click the **Emails** panel tab.
If Gmail isn't connected, you'll see a prompt. Click **Connect Gmail**.
You'll be redirected to Google's OAuth screen. Sign in with the Gmail account you use for work emails.
Pockla requests these permissions:
* **Read emails** – To show email history in the panel
* **Compose emails** – To create drafts on your behalf
After authorizing, you're redirected back to Pockla. The Emails panel now shows your email history with that contact's company.
## Using the Emails Panel
### Viewing Emails
The Emails panel shows all emails exchanged with the contact's **company domain**. For example, if viewing a contact with email `john@acme.com`, you'll see all emails to/from `@acme.com`.
Each email shows:
* **Direction** – Sent (→) or received (←)
* **Date** – When the email was sent
* **Subject** – Email subject line
* **Preview** – First few lines of content
Click an email to see the full content.

From the email detail view:

The agent uses contact data, enrichments, and email history to write contextual, personalized drafts. The more data you have on a contact, the better the drafts.
## Data & Privacy
### What Pockla Accesses
* **Email metadata** – Subject, sender, recipient, date
* **Email content** – Body text for display and AI context
* **Only relevant emails** – Filtered to the contact's company domain
### What Pockla Stores
* **OAuth tokens** – Encrypted, used to access Gmail API
* **Email cache** – Temporary, for display in the panel
Pockla does not:
* Store a permanent copy of your emails
* Access emails unrelated to your contacts
* Send emails without your explicit action (drafts only)
### Revoking Access
To disconnect Gmail:
1. Go to **Settings** → **Integrations**
2. Find Gmail and click **Disconnect**
Or revoke from Google:
1. Go to [Google Account Security](https://myaccount.google.com/permissions)
2. Find Pockla and click **Remove Access**

* Ensure the contact has an email address with a company domain
* Personal emails (gmail.com, outlook.com) won't match company emails

## Troubleshooting

1. A visitor clicks a Pockla link (which includes a `pklid` parameter in the URL)
2. The snippet reads the `pklid` from the URL

4. The page content is personalized before the visitor sees it
If no `pklid` parameter is present, the snippet does nothing — zero overhead for regular visitors.

Install and activate one of these plugins:

Links in Pockla are personalized web pages—one for each contact. You select a page from your website, choose elements to personalize, and Pockla generates a unique version for every contact using AI.
## The Links Page
The Links page is your central hub for creating and managing personalized pages.
### Quick Actions
At the top of the page, you'll find two quick action buttons:
* **Start From a List** – Create a Link Set using contacts from an existing list
* **Start From All Contacts** – Create a Link Set using your entire contact database
### Link Sets Table
Below the quick actions, you'll see your Link Sets displayed in a table with the following columns:

## What is a Link Set?
A Link Set is your personalization template. It defines:
* Which page to personalize (the source URL)
* Which elements to customize (headlines, paragraphs, CTAs)
* How to personalize each element (AI prompts)
From one Link Set, you generate individual pages (called **instances**) for each contact.
## How It Works
1. **Choose a source page** – Any page on your website
2. **Select elements to personalize** – Headlines, paragraphs, CTAs, etc.
3. **Write prompts** – Tell the AI how to personalize each element
4. **Generate** – Pockla creates a unique page for each contact
5. **Publish** – Each contact gets their own URL
## What Gets Personalized
You can personalize any text element on your page:

## Creating a Link Set
Click **Start From a List** or **Start From All Contacts**, or use the **+ New Link Set** button.
Choose which contacts to generate pages for:
* **From a List** – Select an existing contact list
* **All Contacts** – Use your entire database
Paste the URL of the page you want to personalize.
Use the AI chat to describe what you want to personalize. Select elements on your page and write prompts for each.
Preview with a sample contact, then generate pages for all selected contacts.
Once generated, publish to make the URLs live. Each contact gets a unique URL (e.g., `pages.pockla.io/abc123`).
## Available Contact Data
Your prompts can reference any contact field:

# Running for Contacts

Generate personalized pages for a specific set of contacts
When you have a defined list of contacts—an outreach campaign, event follow-ups, or account-based marketing list—you run links "for contacts." Pockla generates a personalized page for each contact in one operation.
## When to Use This
* **Campaign outreach** – Email campaigns where each recipient gets a unique landing page
* **Event follow-ups** – Personalized pages for conference attendees
* **ABM lists** – Account-based marketing with tailored content per company
* **Sales sequences** – Personal pages for prospects in your pipeline
## The Process
Choose contacts from your Pockla database:
* **From a List** – Select an existing list (e.g., "Q1 Enterprise Prospects")
* **Select Contacts** – Pick individual contacts from your contacts table
You can select anywhere from 1 to thousands of contacts.
Enter the URL of the page to personalize and use the AI chat to configure elements and prompts.

Before generating for everyone, preview with one contact. Click **Run Example** to see exactly what the AI produces.
Try a few different contacts to make sure your prompts work well across various companies and roles.
Click **Generate** to create pages for all selected contacts. You'll be taken to the instances view where you can watch progress.
## What Happens During Generation
When you run generation:
1. **Link Set is created** – Your configuration (page, elements, prompts) is saved
2. **Instances are queued** – One instance per contact, all starting in "generating" status
3. **Background processing** – Each contact is processed sequentially:
* Contact data is loaded (including any enrichments)
* AI generates personalized content for each element
* Generated HTML is saved
4. **Progress updates** – The instances table updates in real-time as each completes
5. **Ready for publish** – Once all are generated, you can publish
Generation happens in the background. You can navigate away and come back—it continues running. Check the progress bar or instances table to see status.
## Generation Time
Time depends on:
* Number of contacts
* Number of elements being personalized
* AI response time
**Rough estimates:**
* 10 contacts, 3 elements: \~1-2 minutes
* 100 contacts, 5 elements: \~10-15 minutes
* 500 contacts: \~45-60 minutes
## Using Enrichments
If you've added enrichments to your contacts (via the Enrichment feature), they're available in your prompts.
**Example:** If you have a "Company Summary" enrichment:

Enrichments are loaded per-contact during generation, so each page uses that specific contact's enriched data.
## After Generation
Once generation completes:
1. **Review instances** – Check for any failures
2. **Preview pages** – Click any instance to see the generated page
3. **Publish** – Make URLs live so you can share them
4. **Export URLs** – Get a list of all personalized URLs for your outreach tool
## Handling Failures
If some contacts fail to generate:

| Enrichment missing | Run enrichments before generating |
| AI error | Retry failed instances individually |
Failed instances show an error message. You can retry them without regenerating successful ones.
## Publishing
Generated pages aren't live until you publish:
1. Go to your Link Set's instances view
2. Select instances to publish (or "Select All")
3. Click **Publish**
4. Each contact gets a unique URL (e.g., `pages.pockla.io/abc123`)
Published URLs are immediately accessible. Share them in emails, LinkedIn messages, or any outreach channel.
## Tracking Engagement
After publishing, you can see:
* **Views** – When someone visits their page
* **Time on page** – How long they engaged
* **Clicks** – What they clicked on
This data flows back to the contact record and (if connected) to HubSpot.
## Best Practices
Test with 5-10 contacts first. Review the generated content to refine your prompts before scaling up.
AI-generated pages are only as good as the data. Run enrichments first to give the AI more context about each contact's company.
Vague prompts produce generic content. Be specific about tone, length, and what information to include.
**Good:** "Write a 2-sentence headline welcoming the contact by first name and mentioning a specific challenge their industry faces with data integration."
**Too vague:** "Write a welcome message."
Test with contacts from different industries, company sizes, and roles to ensure your prompts work across your audience.
